  • Setup: Fri 3PM - 5:45PM, Sat 7AM - 9:45 AM (booth must be ready 15 minutes before show start)
  • Event Blessing: 9:45 AM for all participants and volunteers
  • No-Show Policy: Booths not occupied by 9AM will be removed and floor plan adjusted
  • Presentation & Workshops: All day by vendors
  • Tear-down: No dismantling before 5PM (early packing will affect future acceptance)
  • Cleanup: All materials must be removed by 8PM and area cleaned

  1. Uschi needs help with hanging posters in Helena and surrounding towns. You will receive 4 in the mail, please hang them at:

End of September - Early Bird Bags

Early Bird Gift Bag Collection - Action Required
I hope you're as excited as I am about the Holistic Health Expo! As outlined in your vendor registration agreement, you committed to providing 30 small items for our Early Bird Gift Bags.
What We're Creating: We're filling 60 Early Bird Gift Bags for the first attendees. These bags create incredible opening day momentum - last year we had 100 people lined up at 9:45 AM!
Your Commitment Reminder: 30 small items from these categories:
  • Small gifts
  • Stones/crystals
  • Discount coupons (valid for 1 year)
  • Product samples
  • Promotional items
How Our Gift Bag System Works: With approximately 80 vendors each bringing 30 gifts, we need to distribute them efficiently. If we put all 80 vendors' gifts into each bag, that would be about 80 items per bag - way too many! Instead, we're creating a manageable system where each bag gets about 40 gifts by dividing vendors between two groups:
  • 40 vendors will put their gifts into bags on the RIGHT side of the table
  • 40 vendors will put their gifts into bags on the LEFT side of the table This creates 60 perfectly-sized gift bags that attendees will actually want to carry around!
Collection Schedule - Please Choose ONE Option:
Option 1: Mail in September to: Uschi Beck, PO Box 1305, Boulder, MT 59632
Option 2: Friday between 3-5 PM Drop off at the entrance table and help stuff the gift bags using our right/left system described above.
Option 3: Saturday morning before you set up your booth! This is the final deadline! Bags must be completely filled by 9 AM to ensure smooth opening.
PLEASE CONFIRM with Uschi which delivery option works for you so I can plan accordingly.
Why This Matters: Your contribution directly impacts our opening success.

Just a friendly reminder, the advertising responsibility for your own booth breaks down to 70% on your end as the vendor, mainly through sharing our event website and Facebook event post.

Check out the 'Discussion' tab on this event listing, where your booth is  listed (or will be listed) in our Vendor Showcase Promotion. I've already shared your ad to our main Expo Facebook page, please share that post to your timeline and spread it across your other social media platforms. 

I've also got you listed as a vendor on our Expo website, but right now it's only a "one way street."
If you add our event to your website it would create the "two way street".

We're only 3+ weeks out and everyone's advertising efforts are crucial now. I'm always thrilled when I see vendors sharing - but since I'm handling all the promotion for the Expo myself, I might miss some of your posts, but when I spot them, you'll definitely get a little heart from me! 

June Info for Vendors

 If you happen to know anyone in the alternative and holistic wellness world who might be interested in having a booth at our event, let them know about our show. It's always more meaningful when it is a personal approach. 

Last year was our first time in the Helena Civic Center ballroom, and we had around 600 people come through the doors, all seeking wellness and connection. This year, we're staying open until 5:00 PM instead of 4:00 PM, which gives everyone more time to connect and share their products and healing gifts with the community. 

I've attached the vendor call from Natural Life News magazine please share it with friends, or on social media or in any wellness groups you're part of. Maybe mention that you'll be there as a vendor, which might encourage others to join our wellness family. I'm grateful for your support and in helping to make this expo a success. When we come together like this, we create something so much bigger than any of us could do alone.
